Role Overview
The Payroll Officer will ensure the accurate and timely processing of payroll, manage attendance data, benefits, and compensation, and ensure compliance with payroll regulations. The role requires meticulous attention to detail, excellent communication skills, and the ability to address employee inquiries related to payroll matters.
Reports To: Human Resource Manager
Remuneration: Competitive market salary
Key Duties and Responsibilities
Payroll Processing
- Prepare and process monthly payroll accurately and on time.
- Calculate wages, bonuses, overtime, and deductions.
Record Keeping & Data Entry
- Maintain up-to-date payroll and employee records, including attendance and employment status changes.
- Ensure accurate recording of all payroll transactions.
Time & Attendance Tracking
- Track employee attendance, hours worked, and leave balances for accurate payroll computation.
Compliance
- Stay updated on payroll laws and regulations.
- Prepare tax-related reports and coordinate with the Finance department for filing.
Reporting
- Prepare payroll documentation and reports for internal and external purposes.
- Analyze payroll data for discrepancies and trends.
Employee Support
- Address employee inquiries regarding payroll, including pay slips, deductions, and tax matters.
- Provide management with updates on payroll policies and procedures.
System Management
- Maintain and upgrade payroll software.
- Identify and implement process improvements.
Collaboration
- Work with the HR department on onboarding and offboarding processes, including benefits enrollment.
- Manage payroll deductions related to benefits and compensations.
- Assist in resolving payroll audit findings.
Training and Development
- Train new employees on payroll processes and systems.
- Stay updated on best practices in payroll management.
Confidentiality
- Ensure confidentiality and security of payroll information and employee records.
Key Performance Indicators
- Timely and accurate payroll processing.
- Minimal errors and complaints from employees.
- Compliance with payroll regulations.
Qualifications, Skills, and Experience
Education
- Bachelor’s Degree in Accounting, Finance, HR, or a related field.
Experience
- 4–5 years of experience in payroll processing and administration.
Other Requirements
- Fluent in English (spoken and written).
- Aged between 35–40 years.
- Preferably a Ugandan national or holder of a Certificate of Residence; open to expatriates.
Key Skills
- Strong attention to detail.
- Proficiency in payroll software (Endeavour/ERP/SAP preferred).
- Advanced knowledge of Microsoft Excel.
- Knowledge of labor laws, payroll laws, and regulations.
- Excellent communication skills.
- Ability to perform under pressure.
