Job Title: Collections Support Officer (3 Positions)

Reporting to: Head – Collections & Recoveries

Job Purpose

Reporting to the Head – Collections & Recoveries, the role holder will be responsible for supporting the Collections and Recoveries Unit to enable the smooth running of the support functions within the unit in a manner that fosters excellence.

Key Accountabilities

  • Customer Queries: Management and solutions of all customer-related queries (balances, clearances, releases) etc.
  • Invoice Management: Preparing and following up on payment for invoices from service providers like Newspaper Agencies, Security companies, Valuers, EDCs, etc., related to Collections and Recoveries.
  • Tracking & Monitoring: Track and monitor the unit registers, SLAs, and Professional indemnity for various stakeholders, ensuring they are updated.
  • Insurance Tracker: Maintain a central insurance tracker and update the insurance claims status of accounts under Collections and Recoveries. Provide monthly reports of the insurance tracker.
  • Account Reconciliation: Reconciliations for the Collections and Recoveries related accounts, i.e., Corporate Expenses account reconciliation, Security group, GL accounts.
  • Restructured Accounts: Prepare and maintain the restructured account monthly checklist to ensure conformity for classification and compliance to approval conditions and processes plus upgrading the accounts that have made 12 months as per FIA in line with the internal approval process.
  • Overdrawn Accounts: Monitor irregularly overdrawn accounts and liaise with the respective branches for action.
  • Breaches & Waivers: Monitor breaches and waivers given monthly where loan default has materialized and maintain a tracker for effective decision-making to stakeholders.
  • Failed Write-Offs: Track and follow up with Lending Operations on failed write-offs (loans above 455 days).
  • Security Clearances: Review and make recommendations on various checks and controls in line with the checklist for security clearances in the security release process. Maintain and update the tracker for properties on sale and foreclosed properties.
  • Repossessions Control: Ongoing maintenance of the Repossessions Control register & ensure all assets received are verified (physical and other condition) and recorded.
  • Insurance on Repossessed Assets: Ensure insurance cover on repossessed assets is secured, and reasonable care has been taken for the safety of the property after taking custody.
  • Asset Condition Checks: Maintain sound working relationships with security & perform monthly checks on the condition of repossessed assets (both fixed and variable) and recommend expenses or refurbishment of assets where deemed appropriate.
  • Valuations & Disposals: Follow up on timely valuations and ensure notifications, advertising, auctioning, and/or disposal of the given collateral is done in line with laid-out policies and procedures.
  • Other Duties: Perform any other assigned duties.

Qualifications, Experience, and Competencies Required

  • Education: Bachelor’s Degree in any field.
  • Experience: One year’s experience in any credit-related work.
  • Skills:
    • High level of customer service.
    • Very good telephone techniques.
    • Excellent verbal and written communication skills. Good grammar is an added advantage.
    • Good negotiation skills.
    • Tactful and calm.
    • Thorough understanding of the Bank’s Credit including SAM policies and procedures.
    • Proficiency in the use of Word and Excel. PowerPoint is an added advantage.
    • Analytical skills.
    • General understanding of bank products, policies, controls, and procedures.
    • General understanding of business, financial, and accounting fields.
