Epicentre is a Non-Government Organization created by Médecins Sans Frontières (MS) in 1987 to help improve the quality of its field interventions. Since 1996, Epicentre has been a World Health Organization (WHO) collaborating centre for research in epidemiology and response to emerging diseases. Epicentre’s work centers around three main activity areas: clinical research, field epidemiology, and training.
HR ASSISTANT
Location: Mbarara, Uganda
Reports to: Personnel Administration Manager
Duration: 6 months contract
General responsibilities (not exhaustive):
- Under the supervision of the Personnel Administration Manager, managing personnel files and ensuring accuracy and compliance as well as timely payments.
- Recording all required staff information in Homere, such as personal information, contracts, leaves, pay slips, etc.
- Updating Social Security Tax office files to ensure legal compliance.
- Preparing employment contracts and monthly pay slips for staff.
- Supervising support staff (Cleaners/ Cooks); ensuring their routine training, rostering, meetings, etc.
- Following up on office/ house stock management and replenishment, and repairs/ maintenance.
- Keeping records of daily workers and incentive workers, and preparing payments.
- Preparing meal allowance during travel and handling finance for payment.
- Requesting stationery for general office and Administration.
- Making all administrative information available to the staff: posting, meetings, etc., supporting the Personnel Administration Manager during meetings upon request.
- Organizing monthly guest house utility bills and submitting for payment.
- Executing additional HR/ Admin tasks delegated by the Personnel Administration Manager.
Requirements:
- Education: Desirable Business Administration or HR related diploma.
- Experience: Essential previous working experience of at least two years in relevant jobs. Desirable experience in MS or other NGOs in developing countries.
- Knowledge of Homère or any HR software is an asset.
- Knowledge: Essential computer literacy (word, excel, internet, power point, databases etc.).
- Competencies: Result-oriented, quality-oriented, teamwork, cooperation, flexibility, commitment, and service.
