Position Overview:

The Finance Assistant will support the day-to-day financial operations of the Area Program under the supervision of the Program Area Manager. Responsibilities include financial reporting, reconciliation, procurement, and administrative duties. The role also involves supervising Security Guards and the Driver at the Area Program level.

Key Responsibilities:

1. Cash Management:

  • Manage cash receipts and ensure timely deposits.
  • Prepare monthly cash flows and monitor project expenditures.
  • Maintain compliance with financial policies for petty cash management.

2. Financial Management:

  • Reconcile bank statements with cashbook records.
  • Prepare monthly financial journals and ensure compliance with budgets.
  • Support staff with budget understanding and ensure adherence to donor regulations.
  • Capture tax-related details for compliance and filing.

3. Procurement Process:

  • Record and track procurement requisitions.
  • Prepare solicitation documents, purchase orders, and contracts.
  • Ensure adherence to procurement guidelines and maintain audit trails.

4. Staff Supervision and Administration:

  • Supervise cleaning staff, security guards, and drivers.
  • Ensure proper documentation, enforce organizational policies, and manage leave schedules.
  • Monitor vehicle, motorcycle, and generator log sheets and fuel usage.

5. Internal Control, Fixed Asset, and Inventory Management:

  • Ensure quarterly asset verification and stocktaking.
  • Maintain accurate fleet management records.
  • Enforce internal control systems and support project audits.

6. Safety and Compliance:

  • Enforce safety measures as per FH’s security policies.
  • Report and follow up on SEA (Sexual Exploitation and Abuse) cases.

Qualifications and Experience:

  • Bachelor’s degree in Finance, Accounting, or related field.
  • CPA/ACCA Level II or pursuing professional qualifications is an added advantage.
  • At least 2 years of experience in financial management, preferably in an NGO.
  • Auditing background is a plus.
  • Strong skills in MS Office (Word, Excel, PowerPoint) and accounting systems (preferably MS Dynamics).
  • Proficiency in English for report writing and business correspondence.
