Role Overview
The Field Operations (FOPs) Technical Assistant will provide administrative and logistical support to the department, ensuring smooth operations in Kampala and on-site. This role requires a detail-oriented, proactive, and resourceful individual with strong organizational skills.
Key Responsibilities
Administration
- Organize transportation, hotel bookings, flight reservations, and other logistical needs for department personnel.
- Schedule appointments and meetings, manage meeting room reservations, and prepare presentations, briefing materials, and documentation.
- Maintain department dashboards, visual graphics, and technical reports.
- Provide administrative support, including drafting letters, reports, minutes, and memos.
- Update and maintain department records, reports, and databases.
- Generate and distribute standard reports from meetings, workshops, and discussions.
Personnel Coordination
- Track departmental personnel movements and planning.
- Serve as the first point of contact for internal and external visitors.
- Process expense claims, mission orders, training forms, and holiday requests accurately and promptly.
- Manage personnel training files and department organizational charts.
Operational Support
- Map and implement administrative business processes and standard operating procedures.
- Assist with time management systems, including holiday scheduling and timesheet approvals.
- Create requisitions and service orders using the SAP system while liaising with the finance department.
- Set up and maintain a filing system for the department.
- Coordinate site personnel rotational rosters and travel arrangements.
Additional Duties
- Contribute to team-building events and ensure work tools are available for team members.
- Provide other administrative support as required.
Qualifications and Experience
Education:
- Bachelor’s degree in Business Administration, Information Management, or equivalent.
Experience:
- At least 5 years of administrative experience, preferably within a technical team.
- Strong numeracy skills, high accuracy, and attention to detail.
- Proficiency in standard office applications, including Microsoft Word, Excel, PowerPoint, and graphic tools.
Skills and Competencies:
- Excellent written and oral communication skills.
- Strong organizational and time management abilities, even under pressure.
- Ability to work independently and collaborate effectively with team members.
- Quick and decisive reaction to changing demands and circumstances.
- Practical, common-sense approach to problem-solving.
Working Hours:
- Full-time (8 hours per day).
