Position Summary:
Uganda Airlines is hiring a dedicated Document Control Officer responsible for overseeing the daily management and control of documents. The successful candidate will assist teams in document preparation, ensure compliance with quality standards, and maintain an organized documentation system.
Key Duties and Responsibilities:
- Control, prepare, revise, distribute, and maintain documents throughout their lifecycle.
- Assist teams in capturing data for operations and format documents using agreed templates.
- Review, update, and modify technical documents, including internal and external manuals.
- Perform quality and compliance checks on all documents.
- Manage the distribution of controlled documents to meet operational needs.
- Oversee a comprehensive document control database.
- Organize, file, and maintain both electronic and physical records.
- Maintain an up-to-date list of applicable documents.
- Ensure timely access to documents for authorized personnel and aid in their retrieval.
- Maintain confidentiality of sensitive information.
- Monitor and update Aircraft On-Board Library, Central Library, and departmental libraries.
- Administer external documentation acquisition from manufacturers and regulatory bodies.
- Administer the Q-Pulse system and electronic document records.
- Assist in regulatory inspections and audits by preparing necessary documentation.
- Provide administrative support to the Manager of Quality and Monitoring.
- Perform other duties as assigned by the manager.
Qualifications, Skills, and Experience:
- Bachelor’s degree from a recognized university.
- At least 3 years of relevant experience in aviation records management.
- Customer-focused with strong communication and interpersonal skills.
- Integrity, self-motivation, and the ability to work in a team.
- Friendly, presentable, proactive, and results-oriented.
