Job Summary:

The Supply Chain Assistant will report to the Supply Chain Officer and oversee the care and maintenance of stores, transport, procurement, and assets at Kyaka. The role includes inventory management, procurement processes, and vehicle operations while ensuring compliance with IRC standards.

Key Responsibilities:

Stores & Assets Management:

  • Implement and maintain IRC inventory management policies.
  • Oversee the receipt, storage, and release of goods while keeping accurate audit-compliant records.
  • Manage casual laborers in the stores and ensure safety procedures are adhered to.
  • Monitor stock movements, prepare reports, and regularly update asset and store records.
  • Ensure proper tagging and labeling of assets in compliance with IRC policies.

Transport:

  • Assist in managing IRC’s vehicle fleet, including maintenance, fuel management, and driver coordination.
  • Ensure that vehicles are in compliance with local laws and safety requirements.
  • Train drivers in vehicle mechanics, safety driving, and daily inspections.

Procurement:

  • Implement IRC procurement policies, ensuring compliance with IRC and donor regulations.
  • Coordinate with the Finance and Program teams to ensure timely vendor payments and proper documentation.
  • Maintain professional relationships with suppliers and stay informed of local market conditions.

Qualifications:

  • Degree or Diploma in Procurement and Supply Chain Management.
  • Minimum of 2 years of experience in a similar role.
  • Knowledge of Supply Chain Management systems and strong attention to detail.
  • Competence in spoken and written English and computer proficiency.
  • Excellent interpersonal and organizational skills.
