Job Purpose: The Associate Accountant will play a crucial role in ensuring the integrity of accounting information by recording, verifying, consolidating, and booking transactions. They will also be responsible for managing bank and cash payments, ensuring compliance with financial policies, and supporting audit preparations. The position requires attention to detail, strategic thinking, and the ability to work within strict timelines.
Duties and Responsibilities:
- Bank and Cash Payments:
- Timely disbursement of cash and bank payments in accordance with financial and procurement policies.
- Review and check requests for compliance before payment.
- Track and reconcile all outgoing vendor and advance disbursements.
- Share proof of payments with the procurement team.
- Compliance:
- Verify all invoices and ensure compliance with standards.
- Ensure vendors have TIN numbers and perform CSI checks.
- Compile withholding tax list from qualifying vendors.
- Support audit preparations.
- Staff Advance Management:
- Ensure timely liquidation of staff/travel advances.
- Share staff advance statements regularly.
- Analyze advance requests and utilization, providing recommendations.
- Conduct monthly reconciliations of staff advance accounts.
- Financial Reporting:
- Charge timely and accurate entries to the correct donor on the accounting system.
- Prepare monthly reports on cash, bank, staff advances, inventory, and asset management.
- Maintain up-to-date inventory and asset registers.
- Ensure timely petty cash replenishments and accurate expense reviews.
- Other Duties:
- Perform any other duties assigned by the supervisor.
Requirements:
- Bachelor’s degree in Accounting or Finance.
- Minimum 3 years of work experience in a similar role, preferably in a nonprofit organization.
- Ongoing professional accounting certification is an advantage.
- Strong problem-solving skills and ability to deliver within strict timelines.
- Proficiency in Microsoft suite and accounting software, preferably Intact Sage.
- Excellent written and verbal English communication skills.
Working Conditions:
- Primary work hours are Monday to Friday, 8:00 am to 5:00 pm, at Evidence Action’s office in Kampala, Uganda.
- Off-hour work may be required for planned activities, conference calls across time-zones, or emergency situations.
