The Recreation Project (TRP) Profile:

The Recreation Project’s mission is to prepare young people to thrive through outdoor adventure and transformative play. TRP is based in Lacor on a 5 acre outdoor adventure center. TRP delivers play and adventure based programming to children and youth and their families in order to build resilience and positive relationships that prepare young people to overcome adversity.

 

 

Job Summary:

The Recreation Project is seeking a Finance and Admin Assistant to handle day-to-day finance and administration needs. The role will sit at the TRP office located in Lacor. The individual in the role will be responsible for making daily Quickbooks entries, managing the cash box, running errands, making purchases, issuing payments, issuing invoices and receipts, collecting planned expenses, and generally maintaining the office needs. Additionally, all staff at The Recreation Project are trained to be program facilitators so occasionally the Finance and Admin Assistant will be asked to assist in program delivery.

 

 

Roles and responsibilities:

Financial Management

  • Manage the TRP cash box by writing payment vouchers, issuing cash and mobile money payments, and ensuring that the cash box remains balanced.
  • Enter payments and income into Quickbooks daily and ensure that Quickbooks balances reflect true balances in the bank accounts and Quickbooks.
  • Prepare payroll, managing salary advances and loans, and submit for completion to Managing Director.
  • Issuing invoices and liaising with paying clients to plan for their visits, including working with the kitchen team to plan meals and purchase inputs.

Compliance Management

  • Manage TRP compliance with PAYE, NSSF, NGO Bureau, etc. including filing monthly returns, ensuring that receipts are documented, and assisting in annual filings.

Financial Control Management

  • Complete daily, weekly, and monthly financial tasks according to the TRP finance manual and systems including collecting planned expenses and compiling
  • Work closely with Managing Director and CPA consultant to further develop TRP systems and knowledge around proper accounting and financial management.

Administration

  • Managing office needs and ensuring that the office remains orderly and that regular office needs are taken care of (e.g. ordering water refills, stationary, working with repairmen to take care of repairs, etc.)
  • Working closely with directors, coordinators, and maintenance team to oversee the maintenance of the TRP site and coordinate with external consultants as needed.
  • Work closely with Managing Director to maintain systems across the organization, including maintaining work planning documents, organization’s calendars, tracking of clients and prices.

Program and Team Involvement

  • This role is a key member of the TRP team, someone who keeps things moving smoothly so there is a responsibility to be aware of the regular operations and to have an understanding of the program in order to help facilitate smooth and effective program delivery.

 

 

Minimum Qualifications

  • The Finance and Administration Assistant must hold a Bachelor’s degree in relevant field, Accounting degree and/or experience preferred but not required.
  • One to two years of experience working in finance and accounting preferred.
  • Extremely detail oriented
  • Strong sense of initiative, will not wait to be asked to take care of essential tasks but foresees needs and acts accordingly
  • Kindness is key, works well with others and lives up to the TRP value of play.
  • Quick learner, able to master new systems quickly and correctly.
  • A love of sports, play, and working with young people is essential. While this role is technically a finance role, everyone on the TRP team is expected to jump into a game or help out with a program with students when needed.
  • Quickbooks experience preferred but not required.
  • Should be well versed in Google Admin Suite (Google sheets, mail, docs, calendar, etc.)
