The organisation is an equal opportunity employer and is currently seeking to recruit competent persons to fill above mentioned position:
Reporting to the Procurement Coordinator, the incumbent will be responsible for providing logistical support to the department. S/he will oversee that administrative routines are implemented efficiently and effectively.

Dimensions of Role:
The position has no approval and supervision authority. The position directly supports the Administration department and works closely with the Procurement Coordinator in execution of the duties.

Typical Responsibilities – Key End Results of Position:

Administration logistical support:

1. Prepares prompt payment to vendors according to the approved purchase order agreement; punctual delivery of goods and services by the vendor; proper receipt and clearance of any materials, supplies, or equipment, and conducts negotiations of any returns or adjustments which may become necessary.
2. Follows up approved orders for timely delivery of goods and services by the vendor; proper receipt and clearance of any materials, supplies, or equipment, and conducts negotiation of any returns or adjustments which may become necessary.
3. Responsible for organizing and implementing the procurement function in respect to workshop and training bookings at Country Office level in conformity with Plan International Uganda’s policies and procedures.
4. Reviews active orders both electronic and hard copy to determine delivery status and follows up with vendors to assure prompt delivery.
5. Communicates with staff concerning delivery progress and maintains records of receipt of invoices.
6. Prepares a weekly procurement progress log for sharing with all staff with up-to-date status of the procurements.
7. Places orders in the line of responsibility and drafts/writes related correspondences.
8. Prepares vendor set up forms following the established procedures and minimum selection standards, including ant-terrorism screening.
9. Liaises with the Communications department for review of adverts before placing in the media/press.
10. Receives, tabulates and opens bid documents, including bid opening receipts as per Plan International procurement procedures.
11. Supports supervisor in maintenance of updated records related to procurement function such as vendor contract files, framework agreement files with service providers.
12. Acts as a backup the customer care/reception desk officer as and when assigned.

Dealing with Problems:

• As delegated by the Procurement Coordinator, performs the tasks in line with established procedures and policies.

Communications and Working Relationships:
• Communicates with the Administration Coordinator and staff in regard to approval of requisitions and receiving of requisitions respectively.

Knowledge, Skills, Experience, Attitudes and Behaviours Required to Achieve Role’s Objectives:

• A minimum of a higher Diploma in business or education or another related field.
• At least 2 years of working experience in a relevant field in the INGO is an added advantage
• Experience in use of Microsoft office applications i.e. word, excel and power point.
• Ability and willingness to learn and travel to the field
• Very well organized and able to work under pressure
• Excellent interpersonal skills

ADDITIONAL RESPONSIBILITIES

CPP Responsibilities
Evaluations of work conducted by contractors/consultants working directly with children include feedback on their behaviour and conduct towards children. Appropriate action should be taken against any issues that arise.

10 Sponsorship Commitments Responsibilities
Ensure sponsorship quantitative and qualitative data gathered from our annual interviews/consultations with sponsored children to improve programs at the local level.
