About the Role
MTN Uganda Limited, an equal opportunity employer, is seeking a skilled Officer – Records to manage and oversee the company’s records and documentation. This role involves organizing, preserving, and facilitating access to important company records and historical materials.

Reports to: Senior Manager – Commercial Legal & Company Secretarial

Main Responsibilities:

  • Receive, verify, and record documents for proper shelving and storage.
  • Register, retrieve, and issue documents upon formal requests.
  • Arrange for the secure destruction of outdated records following approved guidelines.
  • Sort and distribute incoming mail, and dispatch outgoing mail while maintaining accurate logs.
  • Manage and supervise service providers, such as fumigators, in the archives.
  • Keep an updated inventory of records and track access through an access register.
  • Advise on records that are overdue for return.
  • Ensure the preservation and conservation of records to maintain their long-term viability.
  • Facilitate timely retrieval and accurate refiling of records.
  • Maintain the Records Repository in a well-organized and orderly manner per company standards.
  • Develop and maintain process flows and records status for efficient records management.
  • Prevent unauthorized access to company information sources.
  • Catalogue and index all records for efficient storage and retrieval.
  • Provide advice on additional space needs for future storage.
  • Recommend and support the implementation of improved records storage and indexing systems.
  • Assist with any additional duties as assigned by the supervisor.

Qualifications:

  • Education: Bachelor’s Degree in Records and Archives Management, Library and Information Science, or a related business field.
  • Experience: Minimum of 2 years’ work experience, particularly in digital records systems and management.
  • Skills:
    • Strong understanding of records and archives management principles.
    • Excellent interpersonal skills and a dedication to continuous improvement.
    • Ability to work both independently and collaboratively.
    • Strong organizational skills with attention to detail.
