Key Responsibilities:
Strategy and Leadership:
- Collaborate with management to review, develop, and implement administration and logistics strategies aligned with organizational goals.
- Adapt strategies based on changing market conditions and regulatory requirements.
People Management:
- Manage and mentor the logistics and administration team, developing their capabilities to meet current and future needs.
- Set performance targets and create an effective feedback mechanism for team members.
- Collaborate with HR to attract and manage quality staff for the department.
Administration:
- Lead the dissemination of administration and logistics guidelines to ensure compliance.
- Act as the Health, Safety, and Security Focal person, overseeing security measures at all BRAC Uganda offices.
- Ensure compliance with health, safety, and security guidelines, and monitor 3rd party service providers for adherence to contractual agreements.
- Manage administrative tasks such as travel arrangements, transportation schedules, and staff accommodations.
- Support staff in the application for work permits and visas.
Logistics:
- Ensure accountability of inventory and stock at BRAC warehouses.
- Oversee inventory levels, storage, and distribution, ensuring efficient use of fleet resources.
- Manage the disposal of obsolete items in line with the organization’s policies.
- Monitor and report on fleet usage through tracking systems and ensure that vehicles are maintained and compliant with traffic regulations.
Safeguarding:
- Ensure the safety of team members from harm, abuse, neglect, and exploitation.
- Promote safeguarding standards within the organization and act as a point of guidance on safeguarding issues.
Qualifications and Experience:
- Bachelor’s degree in Administration and Logistics Management; a Master’s degree is an added advantage.
- Minimum of 5 years of experience in administration or logistics management, preferably with an international NGO.
- Strong skills in negotiation, service provider management, and logistics systems.
- In-depth knowledge of legal and regulatory requirements related to logistics and administration.
- Leadership and team management experience, with strong analytical and problem-solving skills.
- Proficiency in computer skills, especially in Word, PowerPoint, and Excel.
- Excellent communication and interpersonal abilities.
