Overall Job Purpose

The Administrative Officer will play a vital role in ensuring the accurate and complete registration and billing of services, as well as the collection of payments. The position focuses on handling all billing activities within the organization, ensuring patients clear their bills, and maintaining high standards of customer satisfaction.

Key Responsibilities

  • Reception Duties:
    • Welcome patients promptly and professionally.
    • Keep patients informed if doctors are delayed or called out.
    • Efficiently respond to patient queries and maintain a clean reception area.
  • Specialists’ Appointment System:
    • Book and manage appointments accurately, maintaining a working knowledge of the system.
  • Medical Records Management:
    • Ensure patient records are correctly filed and easily retrievable when needed.
  • Patient Liaison/Customer Care:
    • Keep waiting areas clean and well-maintained.
    • Handle patient complaints promptly, report service gaps, and highlight urgent cases.
  • Billing-Specific Functions:
    • Collect and process billing information daily.
    • Ensure all billable items are included in final bills and medical claim forms are completed accurately.
    • Prepare final bills, collect payments, and report unpaid bills.
    • Cross-check company invoices for accuracy and dispatch them for further action.
  • Equipment and Systems Management:
    • Proficient use of computers, printers, telephones, and fax machines.
    • Competent in using MS Office and Navision systems for billing and administration.

Key Performance Indicators

  • Billing Accuracy: 100% completion of billing forms and proper use of Navision.
  • Patient Satisfaction: High levels of patient satisfaction with minimal customer complaints.
  • Timely Reporting: Ensure daily submission of invoices and reports to the Credit Control department.
  • Adherence to Work Standards: Maintain punctuality, attendance at work, department meetings, and adherence to IMG working hours.

Job Requirements

  • A degree or diploma with a focus on accounting, business, or a related field.
  • Excellent interpersonal and communication skills.
  • Demonstrable leadership skills (preferred).
  • Strong proficiency in MS Office and Navision systems.
  • Prior experience in a similar role is an advantage.
  • Outstanding customer service skills, multitasking ability, and professionalism.

Working Conditions

  • Minimum of 45 hours per week as per IMG policy.
  • Ability to handle extended periods at a keyboard, managing interruptions, and challenging client interactions.
  • Flexibility to work during weekends and night shifts as required.
