Job Description:
The Senior Officer – Information Services is responsible for managing the Commission’s records management program, ensuring professional practices to effectively meet the organization’s information needs.
Reports to: Manager Information Resources
Key Responsibilities:
- Develop and implement efficient retrieval tools for managing information in the registry and records center.
- Maintain and update the UCC file classification scheme and create new files as needed.
- Coordinate with courier service providers for timely delivery of incoming and outgoing items.
- Manage records with permanent value in the records center and oversee the digitization of such records.
- Conduct onboarding sessions for staff on registry procedures and the Electronic Records and Document Management System (ERDMS).
- Provide technical support for filing and records management to various departments.
- Handle budgeting and reporting for the registry and records center.
- Supervise and review the performance of direct reports, ensuring alignment with organizational goals.
- Perform other duties as assigned by the line supervisor.
Key Performance Indicators:
- Adherence to file management practices.
- Timely delivery of incoming and outgoing items.
- Accuracy and completeness of records management.
- Timely response to departmental inquiries.
- Regular staff performance reviews.
Qualifications, Skills, and Experience:
- Education:
- Master’s degree in Information Science, Information Systems, or Business Administration with a focus on Information Systems.
- Bachelor’s degree in Library and Information Science.
- Membership in a relevant professional body is required.
- Experience:
- Minimum of 4 years in information management or a related field.
- Skills, Knowledge, and Abilities:
- Technical: Proficiency in database management and expertise in records and information management.
- Behavioural: Strong communication skills, excellent customer service abilities, demonstrated integrity, and effective supervisory and leadership skills.
