Overall Responsibilities
- Fleet Management: Establish controls and procedures for fleet maintenance, monitor performance, and prepare monthly management reports on fleet maintenance and cost-effectiveness.
- Administrative Planning: Develop annual and quarterly administrative work plans and budgets, and submit monthly reports to the Administration Manager.
- Fuel Management: Set up controls for fuel management, monitor usage, and prepare monthly fuel consumption reports in line with financial and fleet management policies.
- Contracts Management: Establish procedures for tracking operational and service contracts, monitor performance, and advise on contract renewals.
- Security Management: Implement security controls, monitor performance, and prepare monthly security reports to the Administration Coordinator.
- Procurement Planning: Develop a consolidated procurement plan for office supplies and services in line with office management guidelines.
- Asset Management: Track and maintain an updated Fixed Asset Register, ensuring accurate records of assets.
- Airtime Services: Manage staff and district-supported Health Facility airtime services, verify invoice completeness and accuracy, and ensure value for money.
- Safe Spaces Management: Oversee DREAMS Safe Spaces operations, manage landlord expectations, ensure availability of office supplies, and address security and utilities needs.
- Team Supervision: Coach and mentor the Administration team at regional offices and clusters.
Required Qualifications, Experience, and Competencies
- Degree: Bachelor’s Degree (honors) in a Business-related course or a degree oriented towards Administration.
- Experience: At least three (3) years of relevant working experience in Administration, fleet management, asset management, and general office management.
- Skills: Strong organizational and management skills, ability to develop and implement administrative controls and procedures, and proficiency in monitoring and reporting.
