Position Grading: This is an entry-level position
Supervisory Roles: The Finance Officer volunteer will have no supervisory responsibility.
Job Purpose
The Finance Officer volunteer supports the Finance Department in finance management, focusing on maintaining Books of Account and producing and submitting accurate financial statements/information. The role includes managing RAHU financial transactions and procedures daily, ensuring accurate records for all daily transactions, preparing balance sheets, and processing invoices. The position demands familiarity with audits, invoices, and budget preparations, as well as excellent organizational skills to handle time-sensitive tasks.
Summary of Key Result Areas and Responsibilities
Financial Accounting
- Receive and review requisitions for payment and ensure proper approvals.
- Raise payment vouchers for grant-managed requisitions.
- Maintain accurate and secure financial records and filing systems.
- Post all payments for projects/grants in the QuickBooks system promptly.
- Conduct monthly bank reconciliations for managed projects/grants.
- Raise journal vouchers for accountabilities submitted by field staff.
- Prepare budgets for project proposals collaboratively with program staff.
Project Management – Manage Donor Program and Project Finances/Grants
- Manage donor project finances as allocated by the line manager.
- Prepare and submit timely donor finance reports.
- Monitor expenditures against budgets, prepare monthly budget tracking reports.
- Follow up on partner accountabilities and overdue funds.
- Maintain a register of project assets.
Payables, Receivables, and Record-Keeping
- Track and report procedures for all projects.
- Process invoices and manage transactions timely.
- Record accounts payable and receivable.
- Appropriately document and file all accounting records.
Financial Planning & Budget Management
- Assist with budget preparation and participate in project and program planning.
- Prepare monthly, quarterly, and annual financial reports.
- Enhance the use of QuickBooks.
General Duties and Responsibilities
- Reconcile bank statements.
- Prepare balance sheets.
- Participate in financial audits.
- Track bank deposits and payments.
- Act as a bank agent and provide administrative support.
- Implement and review financial policies and procedures.
- Ensure compliance with accounting procedures.
- Support the finance department’s continuous operations.
Human Resource Management within the Finance Department
- Collaborate with the department for learning and support.
- Provide leadership, mentorship, and evaluation for Accounts Assistants, Interns, and Volunteers.
- Promote inter-departmental knowledge sharing.
- Uphold RAHU values and undertake tasks creatively and innovatively.

Qualifications
- Undergraduate Degree in Finance, Accounting, Economics, or equivalent.
Job-Related Experience and Knowledge
- Proven work experience as a Finance Officer or similar role.
- Knowledge of Generally Acceptable Accounting Principles (GAAP).
- Solid understanding of financial and accounting procedures and regulations.
- Advanced MS Excel skills.
- Experience with financial accounting software.
