Company Overview:
The main aim of the FAO Country offices, which are headed by the FAO Representative, is to assist governments to develop policies, programmes, and projects to achieve food security and to reduce hunger and malnutrition, to help develop agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
Background:
The Procurement Assistant will support the coordination of Procurement aspects/activities related to FAO Uganda program portfolio and ensure that all Procurement activities are carried out effectively and in line with FAO rules and procedures.
Responsibilities:
- Assist in the preparation of solicitation process, identification of method of solicitation, preparation of tendering documents, distribution of invitations to tender, and bid/proposals evaluations.
- Ensure tracking of all procurement processes from receiving and reviewing procurement requisitions for completeness up to delivery/completion of goods/services.
- Contribute to preparing a procurement plan for FAO Uganda and ensure its regular update and monitoring of implementation.
- Review purchase requisitions, orders, contracts, and tenders to ensure compliance with established FAO rules and procedures.
- Organize and prepare minutes of the Local Procurement Committee (LPC) meetings.
- Draft purchase orders, contracts, and amendments, and keep track of their deliverable milestones.
- Verify operational and technical clearances prior to launching procurement actions.
- Ensure invoices/payment requests are received, certified, and include all required supporting documents.
- Prepare reports and routine correspondence on procurement subject-matters.
- Maintain an accurate and updated filing system in the Procurement Unit.
Minimum Qualifications:
- University degree in Procurement.
- At least one year of in-country work experience in procurement.
- Currently pursuing/completed CIPS (Chartered Institute for Purchasing and Supply).
- Working knowledge of English (oral and written).
- National of Uganda.
Technical/Functional Skills:
- Demonstrated ability to work in a multicultural team.
- Ability to work under pressure and meet deadlines.
- Good understanding of supply chain procedures.
- Knowledge of market research.
- Proficiency in Microsoft Office software packages.
- Experience in handling web-based procurement management systems.

- FAO does not charge a fee at any stage of the recruitment process.
