General Summary:
The Procurement Assistant will provide procurement support in all IDI procurement functions, including both local and international purchases. This covers a range of requirements from medical drugs, laboratory equipment and supplies, office supplies, IT-related requirements, renovations, and service agreements among others.

Key Responsibilities:

  • Receive complete and approved requisitions from buying units.
  • Prepare and issue Request for Quotations (RFQs) to vendors.
  • Receive quotations and responses to Request for Proposals (RFPs) following the Institute’s policies and procedures.
  • Prepare Purchase Orders for recommended suppliers/providers.
  • Liaise with the finance team to follow up on vendor invoices to ensure timely payment.
  • Maintain a safe and systematic storage of procurement documents and other relevant items.
  • Maintain and keep track of the contracts register and flag those expiring to trigger the renewal or contracting process.
  • Carry out any other assignments as may be allocated by the supervisor.

Academic Qualification:

  • Bachelor’s Degree in Procurement & Supply Chain Management, Business Administration, or any related field from a recognized institution.

Professional Qualification:

  • At least level 4 CIPS.

Specific Experience:

  • A minimum of three years’ experience in procurement and supply chain management in a busy reputable organization.

Person Specification:

  • University degree in Procurement & Supply Chain Management, Business Administration, or any related field from a recognized institution.
  • Enrollment for the professional qualification in a relevant supply chain management course with significant progress in the course, e.g., CIPS, shall be an added advantage.
  • Minimum of three years’ experience in procurement and supply chain management in a busy reputable organization.
  • Good interpersonal skills.
  • Strong written and verbal communication skills.
  • Ability to work in a busy environment.
