Role Summary:
The Administration & Records Manager will oversee office administration, logistical support, records management, contracts management, and assets management. They will provide leadership to the administrative support team, ensure smooth office operations, manage assets and contracts, coordinate international travel and visitors, maintain security, oversee petty cash, and manage records from creation to disposal.
Responsibilities:
- Lead the administrative support team, allocate duties, and support service providers.
- Manage office operations, equipment, meetings, visitors, and utility costs.
- Acquire and manage MSUG assets, maintain accurate records, and handle asset disposal.
- Manage records from creation to disposal, ensuring compliance with legislation.
- Handle contracts for facilities, premises, and field offices, ensuring timely renewals.
- Coordinate logistical arrangements for international travel and visitors.
- Ensure security and safety at MSUG offices/premises, manage security incidents and costs.
- Manage petty cash, maintain cash flow, and provide timely reports to finance.
Experience:
- Strong communication, negotiation, problem-solving, and analytical skills.
- Good project management, organizational, and IT skills.
- Knowledge of information management principles and legislation.
- Attention to detail and flexibility to handle various tasks.
Qualifications:
- Degree in Business Administration or related field.
- Data and records management skills.
- Team player with people management skills.
