The World Bank Group (WBG) in Kampala, Uganda, is inviting applications from fresh high school or A’ Level graduates for the position of Office Assistant. The successful candidate will play a crucial role in supporting the daily operations of the Country Office, providing administrative support, handling reception duties, and ensuring smooth office functioning.

Job Summary: The Office Assistant will work under the supervision of the Finance Analyst, contributing to the efficient running of the Country Office. Responsibilities include reception duties, handling incoming and outgoing correspondence, managing office stationery, and providing support for various office activities.

Key Duties and Responsibilities:

  • Provide professional reception and administrative support services.
  • Manage the reception desk, including welcoming visitors and providing information.
  • Handle incoming mails, answer telephones, and assist in maintaining office files.
  • Coordinate transport arrangements and manage office stationery supplies.
  • Assist in preparing documents, memos, letters, and faxes using basic computer skills.
  • Maintain and update a database of contact lists and directories.
  • Assist other team members with routine office functions as needed.
  • Manage the office access system for visitors and meetings.
  • Respond to inquiries or complaints from clients and the public as directed.

Qualifications, Skills, and Experience:

  • High school certificate with at least 1 year of experience in administration or secretarial work.
  • Strong interpersonal skills and ability to work in a team-oriented environment.
  • Proficiency in Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
  • Organizational skills with the ability to prioritize tasks and work under pressure.
  • Ability to draft and translate simple correspondence.
  • Previous experience in a similar role or client service function is advantageous.
  • Excellent command of the English language (verbal and written).
  • Good phone etiquette and communication skills.

Competencies:

  • Proficiency in basic software applications and data management systems.
  • Attention to detail and ability to organize work and meet deadlines.
  • Awareness of World Bank structure and understanding of Bank Policies and Procedures.
  • Willingness to learn and adaptability to new tasks.
  • Positive attitude towards clients and effective teamwork skills.
  • Interest in learning and sharing knowledge.
