Job Title: Accounts Assistant

Key Duties and Responsibilities:

  • Reconcile processed work by verifying entries and comparing system reports to balances.
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
  • Pay vendors by monitoring discount opportunities, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
  • Maintain accounting ledgers by verifying and posting account transactions.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Maintain historical records by microfilming and filing documents.
  • Disburse petty cash by recording entry and verifying documentation.
  • Report sales taxes by calculating requirements on paid invoices.
  • Protect the company’s value by keeping information confidential.
  • Keep track of all payments and expenditures, including payroll, purchase orders, invoices, statements.
  • Pay employees by verifying expense reports and preparing paychecks.
  • Pay vendors by scheduling paychecks and ensuring payment is received for outstanding credit; generally responding to all vendor inquiries regarding finance.
  • Prepare analyses of accounts and produce monthly reports.
  • Continue to improve the payment process.
  • Perform any other assignments imposed by Management.

Qualifications, Skills, and Experience:

  • A minimum of a bachelor’s degree in accounting, Finance, Business Management, or in a relevant discipline.
  • At least three years of experience in a similar role in a busy environment. An understanding of basic bookkeeping and accounting skills is required.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
  • Knowledge of Pastel, SAP, Quickbooks, or any other accounting package.
  • Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
