Alight provides shelter, clean water and sanitation, health care, skills training, microcredit education, protection to help survivors of war and natural disasters to rebuild their lives with dignity, health care, security and self-sufficiency.
Job Summary
Reporting to the Human Resources Coordinator, the Human Resources Officer will be responsible for supporting the Human Resource Department to provide general and routine HR support ensuring efficient and effective functions.
Roles and Responsibilities:
Recruitment & Selection:
- Support in the recruitment process by running job adverts in the HR Software and invite candidates for interviews.
- Prepare set of forms for all new staff and guide them on completing the same, and support in onboarding process.
- Participate in longlisting and shortlisting candidates and support in conducting interviews of the selected candidates.
- Conduct reference checks and ensure that they are placed on file.
- On Induction / Orientation – Staff joining ALIGHT Uganda are effectively informed about the organisation and the purpose of their role in the delivery of ALIGHT’S mandate.
- Works on the preparation of induction and orientation materials and events to ensure new staff know about ALIGHT and are able to reach full functionality in minimum time.
- Rights and Responsibilities – Staff are aware of their contractual rights and responsibilities in delivering their work for ALIGHT in line with the Code of Conduct
Staff Welfare:
- Coordinate the Medical insurance while providing oversight and support to staff on medical insurance scheme.
- Ensure new staff are registered on the medical scheme and cards processed.
- In liaison with the service providers, schedule health talks at least each quarter.
- Follow through on new medical cards and later send them to respective staff in a timely way.
- Notify insurance about the new staff additions and exits.
Health and Safety:
- Handle Group Personal Accident insurance of staff and follow up on any claims and compensations with the service provider.
- Assist in ensuring that Health and Safety guidelines are adhered to and liaise with the HR Coordinator for any Health and Safety concerns.
- Handle the Group Life Insurance while working closely with service providers.
HR Administration:
- Proactively manage all HR correspondences and ensure response deadlines are met.
- Monitor the staff contract status to ensure timely renewals in collaboration with HR Coordinator.
- Work with IT Support to create email addresses for new staff.
- Ensure staff lists are updated and shared monthly with the HR Coordinator.
Staff Exits:
- Follow up on clearance and exit forms for all exiting staff and ensure that they are received, dully signed off and cleared by all departments.
- Work with staff and supervisors to complete Exit Interviews/ forms for position respective grades in time and compile quarterly reports.
Records Management:
- Ensure original copies of all documents are in the Personnel Files.
- Add new staff with all their respective details into the HR database/software.
- Ensure personnel files are in place for each staff as per audit requirements.
Interns and Volunteers:
- Receive requests for internship and volunteer placement.
- In consultation with the Human Resources Coordinator and unit heads, vet / recommend interns and volunteers for placement.
- Manage Internship placements with respective departments/program areas in line with the Internship Policy.
Minimum Qualifications for ALIGHT Uganda Jobs 2021
- The ideal candidate must hold a Bachelor’s degree in Human Resources, BBA (HRM), Social Sciences, Organizational Psychology or related field.
- At least three years of experience in similar or related role.
- Experience working with INGOs in Human Resources and in humanitarian response setting/environment is preferred.
- Computer skills in Microsoft office (Word, Excel), PowerPoint and the internet.
- High level of confidentiality.
- Ability to work in a team.
- Remains calm and positive under pressure and in difficult situations.
- Aware of impact on others and adjusting own behaviour accordingly.
- Tolerant of difference – cultural sensitivity in relation to its impact on HR.
- Good written and spoken English.
- Good analytical, organization, planning and communication skills.
- Good interpersonal skills.
- Records keeping skills.
- Excellent communication skills including excellent writing skills.
- Proficiency in major programs such as Word, Outlook and Excel.
- Good interpersonal skills.
